Getting Started — Your First Login

Step 1: Access the Admin Dashboard

Open your web browser and navigate to your admin dashboard URL provided by the KIXIK team.

Step 2: Enter Your Credentials

Username: Your admin username

Password: Your admin password

Step 3: First-Time Setup

On first login, you may be prompted to:

  • Change your temporary password to something secure
  • Confirm your company information
  • Review language preferences

Equipment Management

Adding Your First Equipment

To add equipment to the system:

  1. Click "Add Equipment" button
  2. Select equipment type (Industrial, Vehicles, Office IT, Safety, Small Tools)
  3. Fill in basic information (name, location, serial number, model)
  4. Assign to a specialist and set maintenance interval
  5. Use AI nameplate recognition to auto-extract specs (optional)
  6. Assign an NFC/QR tag so technicians can scan
  7. Click Save
AI Nameplate Recognition Tip:

Take a clear photo of the equipment's nameplate with good lighting. Claude AI reads it automatically and fills model, serial number, and specifications.

Managing Existing Equipment

  • View Details: Click equipment to see full passport, work history, and status
  • Edit: Change location, specialist assignment, maintenance intervals
  • Duplicate: Clone similar equipment with modified details (faster than creating from scratch)
  • Delete: Permanently remove equipment (cannot be recovered)

Specialist (Team) Management

Adding a New Specialist

  1. Go to Specialists tab
  2. Click "Add Specialist"
  3. Fill in: Full Name, Email (for notifications), Username
  4. Copy the temporary password generated by system
  5. Send credentials securely to the specialist
  6. On first login, they change password to their own secure password

Assigning Equipment to Specialists

Each specialist can be assigned specific equipment they're responsible for:

  • Click on a specialist's profile
  • Click "Assign Equipment"
  • Select equipment from your inventory
  • Save — specialist now has access to log work on this equipment

Checklists

Create maintenance checklists so technicians follow the same procedures every time.

Creating a Checklist

  1. Go to Checklists tab
  2. Click "Create Checklist"
  3. Give it a name (e.g., "Monthly HVAC Maintenance")
  4. Add sections and items (e.g., "Filters" section with "Replace air filter" item)
  5. Mark sections as required or optional
  6. Assign to equipment types so technicians use them
  7. Save

Tracking Checklist Completion

When a technician logs work, they complete the assigned checklist. In the Work History view, you can see which items were checked off and any notes added by the technician.

Service Requests

Equipment users can submit service requests through scanning NFC tags. You manage and track these requests.

Viewing Service Requests

  • All incoming requests appear in the Service Requests tab
  • Filter by status: Open, In Progress, Completed, Closed
  • View priority level: Low, Medium, High
  • See attached photos and detailed description

Assigning & Tracking Requests

  1. Click on a service request to view full details
  2. Assign to a specialist who will handle it
  3. Set priority (affects notification urgency)
  4. Track status as it moves from Open → In Progress → Completed
  5. Close when resolved

Maintenance Monitoring

Keep track of all equipment maintenance schedules and get alerts before maintenance is overdue.

Maintenance Status

  • On Schedule: No action needed
  • Due Soon: Maintenance due within 5 days
  • Overdue: Action required immediately

Automatic Notifications

You receive automatic email and Telegram notifications when maintenance is due or overdue. Specialists also get notified of their assigned work.

How to log work, complete maintenance, and handle service requests

Getting Started

Your First Login

Your admin will provide you with:

  • URL to the mechanic/technician page
  • Your username
  • A temporary password
  1. Navigate to the mechanic page URL
  2. Enter your username and temporary password
  3. Create your own secure password (system will require this)
  4. You're ready to start logging work!
Security Tip:

Choose a strong password with at least 8 characters, mix of letters and numbers. Don't share your login credentials with anyone.

Scanning Equipment

How to Scan

Equipment is accessed by scanning NFC tags or QR codes with your phone:

  1. Open your phone's camera or QR scanner
  2. Scan the tag attached to the equipment
  3. You'll be taken directly to the work logging page
  4. Equipment details appear automatically

No Camera? Use QR Code Scanner

If your phone doesn't have NFC capabilities or the tag isn't working, look for a QR code on the same equipment. Most modern phones can scan QR codes with the camera app.

Logging Work & Maintenance

The Work Logging Process

After scanning equipment, you'll see a form to log your work:

1. Basic Information

  • Work Date: When the maintenance was performed
  • Technician: Automatically filled with your name
  • Work Description: What did you do? (e.g., "Replaced oil filter and belt")

2. Structured Work Items

For detailed tracking, add individual work items with hours spent:

  • Click "Add Work Item"
  • Enter activity name (e.g., "Oil change")
  • Enter hours spent (e.g., 1.5 hours)
  • Add as many items as needed

3. Engine Hours (for vehicles only)

For vehicles and equipment with engine hour tracking:

  • Enter the current engine hour reading
  • System tracks this for maintenance planning
  • Based on engine hours, maintenance intervals are calculated

4. Additional Notes

Add any notes for future reference or issues noticed. This appears in the equipment's complete history.

Completing Checklists

Checklist Assignment

When you log work, the system may show a checklist tailored to that equipment type:

  • Example: "Monthly HVAC Maintenance" checklist appears when servicing HVAC equipment
  • Example: "Truck Safety Inspection" checklist for vehicle maintenance

How to Complete a Checklist

  1. Review each section of the checklist
  2. Check off items as you complete them
  3. Add notes if an item was skipped or needs attention (required items must be checked)
  4. Submit — your admin can see which items were completed

Thorough checklist completion ensures consistency and helps catch problems early. Don't skip items — if you can't complete something, note it for your admin to review.

Service Acts & PDFs

What is a Service Act?

A Service Act is a formal document that records the work you performed. It includes signatures from you (technician) and the client (equipment owner).

Generating a Service Act PDF

  1. After logging work, you'll see an option to "Generate Service Act"
  2. Review the auto-generated document
  3. Add your signature using touch/mouse on screen (or sign later on paper)
  4. Have the client/equipment owner sign using the same interface
  5. PDF is saved to the system and can be downloaded for records

Digital Signature Requirements

Both technician and client signatures are required for official Service Acts. You can:

  • Sign on the tablet/device directly during the visit
  • Use your initials or full name signature
  • Let the client sign on the same device

Handling Service Requests

Service Request Status

When your admin assigns you a service request, you can track its status:

  • Open: Just assigned to you, needs action
  • In Progress: You've started working on it
  • Completed: Work is done, waiting for client approval
  • Closed: Issue is fully resolved

How to Close a Service Request

  1. Log work for the equipment as you normally would
  2. At the end of the form, you'll see "Link to Service Request"
  3. Select the request you're closing
  4. Submit — the request status updates automatically

Notifications & Updates

Types of Notifications You'll Receive

  • Equipment Assigned: Your admin added new equipment for you to maintain
  • Service Request: New request assigned to you requiring action
  • Maintenance Due: Equipment you maintain is due for service soon
  • Work Reminder: Maintenance is overdue (admin view only)

Notification Channels

You receive notifications via:

  • Email notifications (sent to your work email)
  • Telegram messages (if you've linked your Telegram account)

Equipment User Guide — Report a Problem

How to report equipment issues and problems to your maintenance team

Overview

If you notice a problem with equipment at your workplace, you can quickly report it to the maintenance team using your phone. The system will:

  • Capture your report and photos
  • Route it to the right technician
  • Track progress until it's fixed
  • Keep a record for your company
Quick Start:

Find the NFC tag or QR code on the equipment → Scan with your phone → Fill out the problem report → Submit. That's it!

Scanning Equipment

Finding the NFC Tag or QR Code

Look for a small tag or sticker on the equipment. It may look like:

  • A small rectangular NFC sticker (looks like a mini chip)
  • A square QR code (black and white checkered pattern)
  • Both attached together

How to Scan

  1. Use your phone's camera or a QR code scanner app
  2. For NFC: Hold your phone near the tag for a second or two
  3. For QR Code: Point camera at the code (no need to touch)
  4. Your phone will automatically open the report form
Scanning Tip:

If scanning doesn't work, make sure you've enabled camera permissions in your phone settings. Also check that you're not using too much force on NFC tags — just tap gently.

Reporting a Problem

The Problem Report Form

After scanning, a form appears with fields for you to describe the issue:

Problem Description

Write a clear description of what's wrong:

  • "Machine is making a grinding noise"
  • "Display screen is flickering"
  • "Water is leaking from the bottom"
Description Tips:
  • Be specific — describe exactly what you see/hear/notice
  • Note when it started (today, this week, ongoing)
  • Mention if it affects work (does it stop operation?)

Adding Photos

Attach up to 3 photos to help technicians understand the issue:

  1. Take a clear photo of the problem area
  2. Make sure lighting is good and you can see details
  3. For noise issues, photo of the area with the sound
  4. For leaks, show the water or damage
  5. You can upload up to 3 photos (max 250KB each)

Setting Priority

Choose the urgency level:

  • Low: Can wait, not affecting work (minor issue)
  • Medium: Should be fixed soon but not emergency
  • High: Urgent, equipment cannot be used safely

Submitting Your Report

Once you've filled in the details:

  1. Review your description and photos
  2. Click the "Submit Report" button
  3. Wait for confirmation message
  4. Your report has been sent to the maintenance team!

Tracking Your Request

Viewing Request Status

After you submit a report, you can check its status anytime:

  • Return to the same NFC/QR code in Auditor Mode (scan without logging in)
  • Enter your company name (no password needed)
  • You'll see all recent service requests for your company

Request Status Levels

  • Open: Report submitted, assigned to a technician
  • In Progress: Technician is working on the issue
  • Completed: Work is done, ready for use
  • Closed: Issue fully resolved and approved
Tracking Tip:

Save your service request confirmation code (if provided). You can give it to support if you need to follow up.

Tips for Better Support

Report Issues Early

Don't wait until equipment completely fails. Report minor issues when you notice them so technicians can prevent bigger problems.

Be Descriptive

The more details you provide (what happened, when, what sounds/smells/visuals), the faster technicians can diagnose and fix the problem.

Use Clear Photos

Well-lit, clear photos showing the problem area help technicians immensely. Blur out any sensitive information if needed.

Check Maintenance Schedule

In Auditor Mode, you can see when equipment is due for regular maintenance. Report anything unusual even between scheduled services.

Follow Safety First

If equipment is dangerous or unsafe, set your report to High priority and notify your supervisor immediately. Don't attempt repairs yourself.

Keep Track of Issues

If the same problem keeps happening, mention it in your report so the maintenance team can address the root cause.

Quick answers to common questions from all users

What is KIXIK?

KIXIK is an equipment management platform. Companies attach NFC tags or QR codes to physical equipment; technicians scan the tag to log work, and admins manage equipment, specialists, and checklists through a web dashboard.

I forgot my password. What do I do?

Passwords are reset by your company administrator, not by yourself. Contact your admin and ask them to reset your password from the dashboard.

My NFC tag won't scan. What can I try?

Make sure NFC is enabled in your phone settings and hold the phone steady near the tag for a second or two. If it still doesn't work, look for a QR code on the same equipment and scan it with your camera app instead.

How do I change the language of the interface?

Use the language selector in the top navigation bar (EN, ET, RU, FI, DE, LV, LT). Your choice is remembered for future visits.

What is Auditor Mode?

Auditor Mode lets anyone view equipment history and maintenance status without a personal account. Enter your company name as the username and leave the password field empty. Auditors can view but not log work.

What's the difference between Admin, Specialist, and Equipment User?

Admins manage the whole account: equipment, team, checklists, and reports. Specialists (technicians) scan equipment and log work. Equipment Users don't need an account — they scan a tag to report a problem.

What do the priority levels (Low/Medium/High) mean?

Priority tells the maintenance team how urgent a problem is. High means the equipment is unsafe or unusable and needs immediate attention; Medium should be handled within the week; Low can wait until it's convenient.

Is my data stored securely?

Yes. Passwords are stored as bcrypt hashes, all data is scoped to your company, and access is protected by session tokens and row-level security in the database.

Do I need to install an app?

No app store download is required. KIXIK works in your mobile browser, and you can optionally install it as a Progressive Web App (PWA) from your browser's menu for a faster, app-like experience.

How do I get notified about new requests or overdue maintenance?

Notifications are sent by email automatically. You can also link your Telegram account from your profile menu to receive the same alerts instantly on Telegram.

What if I can't complete a required checklist item?

Add a note explaining why the item couldn't be completed. Your admin will see the note in the work history and can follow up if needed.

How does the signed Service Act PDF work?

After logging work, you can generate a PDF that summarizes the visit. Both the technician and the client sign directly on the screen (touch or mouse), and the signed PDF is saved automatically for your records.

Can I export equipment and work log data?

Yes, admins can export equipment lists and maintenance history to Excel from the equipment dashboard for reporting and record-keeping.
